Front Desk Administrator
We are seeking a dynamic and organized Receptionist / Front Desk Administrator to serve as the first point of contact for our organization and assisting with a wide range of administrative and coordination tasks. The ideal candidate will be professional, detail-oriented, and adept at multitasking in a fast-paced environment.
Key Responsibilities:
- Greet visitors and clients in a warm, professional manner.
- Answer and route incoming phone calls efficiently.
- Schedule appointments and manage meeting room bookings.
- Perform general administrative tasks including filing, data entry, and maintaining records.
- Assist in coordinating office events and meetings.
- Facilities Management
- Conduct routine checks of the office environment to identify minor maintenance issues.
- Liaise with facilities or external vendors to resolve repair and maintenance needs promptly.
- Organize and manage daily/weekly lunch orders for employees. Collaborate with vendors and caterers to ensure timely delivery.
- Receive, sort, and distribute incoming mail and packages.
- Provide exceptional customer service both in person and over the phone.
- Communicate effectively with team members and other departments to facilitate smooth office operations.
Experience and Skills:
- Prior experience as a receptionist, front desk administrator, or similar role preferred.
- Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Experience with payroll software or construction management software is an asset.
- Excellent communication and interpersonal skills.
- Ability to work independently and collaboratively in a team environment.
