Operations & Administrative Coordinator
Position Summary
The Operations & Administrative Coordinator provides administrative and operational support across field operations, estimating, payroll, safety, and office functions. This role supports both field and office teams by coordinating daily processes, maintaining accurate records, and assisting with project, payroll, and operational activities in a fast-paced construction environment.
Key Responsibilities
- Coordinate hotel reservations, per diem adjustments, travel, and scheduling for field and management staff
- Support payroll and HR-related processes including per diems, expense reports, open enrollment assistance, audits, terminations, and payroll distribution
- Prepare and maintain daily field reports, labor efficiency data, equipment tracking, and weekly barge tracking
- Support estimating and project controls including estimates, purchase orders, contracts, change orders, billing support, and estimating logs
- Maintain budgets, phone allowances, vacation tracking, and office supply ordering
- Assist with safety meetings, safety award tracking, and training coordination
- Support proposal efforts by preparing presentations and maintaining resumes
- Provide MobTime and iPad troubleshooting support for field personnel
Qualifications
- Strong organizational skills with the ability to manage multiple priorities
- High attention to detail and accuracy
- Proficiency in Microsoft Office and comfort learning new systems
- Experience in construction or field-based environments preferred
Work Environment
This role supports both office and field operations and requires flexibility to respond to changing priorities in a construction environment. Regular interaction with project teams, field supervision, and management is expected.
