Customer Service Representative - Bilingual

Recordscustomer product orders via phone, mail, and facsimile. Processes customer orders in steps to include entering information into the computer system, confirming prices, shipping, and delivery dates, print order, confirmation and general filing as required. Enters customer order by securing customer number, matching correct Account Executive number, verifying correct pricing and pricing codes, and adding special order comments and required line item comments. Prints Pick Lists following thorough verification of part numbers, quantities, and all other required information for faxed and verbal orders. Reviews customer inquiries and uses knowledge to problem solve situations to best meet the needs of the customer and the company. Systematically coordinates the return of products to include the issuing of credits. Maintains multi-facility order documentation and advises appropriate facility of critical order information and changes. Releases product orders to other facilities for shipment. Provides work-up costs for special order products to customers and ensures component availability for the product production. Cooperates with intra and inter-departmental personnel, as well as other facilities and corporate personnel to ensure customer services can be adequately promoted and maintained to meet the needs of the customer. Responsible for providing team support within the Customer Service Department to foster accuracy and excellence in providing the highest level of quality customer service

Job Requirements

REQUIREMENTS:Must be fluent in Spanish and English.

Provides work-up costs for special order products to customers and ensures component availability for the product production.

Records customer product orders via phone, mail, and facsimile. Enters customer orders by securing customer number, matching correct Account Executive number, verifying correct pricing and pricing codes, adding special order comments and required line item comments.

Processes customer orders in steps to include entering information into the computer system, confirming prices, shipping, and delivery dates, printing order, confirmation and general filing as required.

Enters all international orders using sample orders in AX as requested by the Director of International Sales and customers excluding Kinedyne Canada.

Prints Pick Lists following thorough verification of part numbers, quantities, and all other required information for faxed and verbal orders.

Releases product orders to other facilities for shipment.

Works with all Kinedyne warehouses on lead times, product availability, etc. to provide information to customers as requested.

Maintains multi-facility order documentation and advises appropriate facility of critical order information and changes.

Prepares export documents in Shipping Solutions software for all orders shipping outside of the US (included inter-company orders, sample orders, IPTS).

Sends documents to appropriate parties once completed. These documents include NAFTAs, CAFTAs other Free Trade Agreement Certificates as well as Commercial Invoices, Proformas, Canadian Customs Invoices, Packing Lists, etc.

Obtains booking information from customers forwarder to file Automatic Export SX (AES) on-line for all shipments valued at 2,500 or more and provides ITN to freight forwarder.

With support from the Global Logistics Manager, coordinates with Hellmann Logistics and OEC for container loads to Montecentro and obtains ocean and/or air freight quotes from OEC as requested by customers.
