The Position

The Director, HRIS & Benefits will be responsible for managing the functional areas of HRIS and Benefits. Working alongside the Vice President of HR, peers, and team members to design, implement, communicate, and monitor current and future projects, systems, programs and plans. The ideal candidate for this role is a proactive problem solver who is motivated to mentor others and effect change within a complex environment.

The position is physically based in Warrenville, IL and will report to the Vice President of Human Resources.

Job Description

HRIS

  • Provide planning, project coordination and management for the design, implementation, and support of a cost-effective, globally integrated human resources management system (HRMS) system, using current technologies and touching all areas of HR, payroll and time tracking.
  • Identify opportunities to improve HR processes with the use of technology while maintaining compliance with all policies and procedures, collective bargaining agreements and federal and state regulations.
  • A hands-on manager who meets regularly with team to improve quality and efficiency of processes, serving as mentor and coach
  • Assist VP in setting the future direction for global HR systems, construct a project deployment framework, track analytics, and create an efficient and effective structure to best support end users
  • Evaluate, recommend, and lead updates to improve efficiencies and value-add enhancements
  • Forge and maintain relationships with vendor representatives, group and company super users and other internal functional data partners
  • Serve as a resource to other departments who are embarking upon technology projects that impact or are impacted by HR processes and systems
  • Provide leadership, direction, support and training to HR system end users; oversee and contribute to the preparation of procedural and system documentation

Benefits

  • Manage vendors responsible for the administration of health and welfare benefit plans.
  • Work with VP, broker and team during annual plan renewal to ensure all benefit plans provide value to participants, competitively priced, and a good fit for the organization
  • Coach and develop HR team, internally and in Groups, on benefit related issues
  • Lead and schedule project work such as annual audits, changes to plan designs and the implementation of new partners
  • Build out a Global Benefits Program
  • Collaborate on plan design for new plans or changes to existing plans; proactively identify and recommend process improvements and implement process changes
  • Oversee annual open enrollment: ensure system changes are tested in a timely manner, provide feedback on communication materials, suggest an effective framework for employee training sessions and ensure compliance with state and government reporting
  • Monitor regulatory developments as well as marketplace trends and best practices; suggests policy and process changes to better meet the company’s business needs and better meet the needs of colleagues
  • Respond to escalations from vendors, business partners and leaders related to health and welfare benefit plans
  • Consult with internal partners such as HR, payroll, and finance on health and welfare benefit operations matters.
  • Liaise with 401(k) Investment Chair regarding plan changes, audits, and regulatory compliance
  • Prepare and/or participate in government filings, plan audits, and other tax-reporting requirements as necessary

Job Requirements

Education

  • Bachelor's degree in a related field, such as human resources, business administration, and accounting preferred.
  • SHRM-SCP, SPHR or CEBS certification a plus

Skills & Relevant Work Experience

  • Ten (10) plus years of progressive work experience – functional experience in HRIS and Benefits required
    • 3+ years of experience in a managerial position with direct reports
  • Strong experience in HRIS systems, preferably UKG Pro (formally UltiPro)
  • Multi-state experience required, Canadian or Global knowledge a strong plus
  • Ability to handle highly sensitive confidential employee information with discretion and good judgment.
  • Organizes and presents detailed and complex information clearly, succinctly and effectively both verbally and in writing
  • Able to interact and communicate effectively in a clear and concise manner with all levels of employees, managers, vendors, consultants, and legal advisors
  • Considerable knowledge of HR and Payroll regulations and business processes
  • Comprehensive skill in planning, procuring, designing, developing, testing, implementing and monitoring information technology systems
  • Provides strong project management, change management, facilitative, and analytical, skills
  • Delivers project results through own and team contributions
  • Ability to manage several complex projects simultaneously while working under pressure to meet deadlines
  • Understands the legal umbrella under which the plans operate, including IRS, ERISA, COBRA, FMLA, and other benefits related federal regulations
  • Proficient in Microsoft Office Suite applications, especially Excel
  • Travel up to 20% or as required periodically for the role (COVID currently restricts travel)
  • Bilingual a plus but not required
